Onboarding Clients

Learn how to import large volumes of existing clients directly into your Returning.AI community.

Returning.AI has made it easier than ever to onboard all your existing clients into your new community. Returning.AI makes it easy to onboard your existing clients into your new community. Mass import users to avoid relying on clients to sign up themselves and instead pre-create accounts that users can simply claim.

To import your clients, you will need the emails, as well as any other supporting data in your client database. Head over to your user list, and select 'Import Users'. From the dropdown menu, click on 'Download CSV Template'.

Open the CSV template on your program of choice, and you will see the following columns:

  • First Name

  • Last Name

  • Username

  • Email

  • Phone

  • Country

  • Language

  • Role

  • Tag

Fill in each column with your customer data, with each row corresponding to one user. The First Name, Last Name, Username and Email fields are required. Note that all names have a 50-character limit. Phone, Country and Language are optional fields, unless specified in your joining requirements.

Under Roles and Tags, type the roles and tags you want to assign to each user, separated by commas. Names are case-sensitive, so enter them exactly as they appear. These Roles and Tags must already exist in your community. If you have yet to create roles or tags, check out the following articles for more information.

Once complete, your sheet should look something like this.

Save your file in either CSV, XLS or XLSX formats, and head back into your Userlist. Select 'Import Users' and click on 'Upload CSV'. Locate and upload your file. Once your file has been uploaded, select 'Import'.

If any errors are found in your file, the affected rows will be highlighted, and the number of errors per row will be shown. Hover over the error count to see the specific issues tied to that row. Details about each error is as follows:

  • Already exists in system: The username or email already exists in the system.

  • Duplicate in CSV file: The username or email has a duplicated entry in your file.

  • Incorrect Format: The email or phone number entered is in the wrong format.

  • Exceeds Character Limit: The first name, last name, or username has exceeded the 50-character limit.

  • Missing Required Fields: One of the required data fields is missing.

  • Invalid Values: The role or tag does not match any existing roles and tags in your community.

  • Invalid Country or Language: Country or language were not recognized

If no errors are found, you'll see a preview of all the users to be imported, along with their associated information. After verifying the details, click 'Confirm and Import'. Once the import is complete, an email will be sent to your admin account listing any users who failed to import.

Successfully imported users will receive an email letting them know an account has been created for them. They’ll be able to click a link to your community, accept the rules and disclaimers, and set a password to claim their account.
